Managing two charter flights for a company conference

A travel agent asked for our help getting a group for a company conference from the UK to Cyprus. They’d already sourced a charter aircraft direct from the operator, arranging for half the employees to take off from Birmingham followed by a second flight from the East Midlands three days later. With 180 passengers on each flight, careful coordination was essential to ensure everything ran smoothly, so we stepped in to manage both departures.

With not long to go until the flights were due to take off, we worked around the clock to accommodate several last-minute requests. From changing passenger numbers to unexpectedly large baggage and pregnant passengers needing extra attention, every enquiry was handled quickly and efficiently, giving the travel agent total peace of mind.

We even pulled off a last-minute request for breakfast pastries on one of the flights. The operator was unable to arrange catering at such late notice, so we sourced nearly 200 croissants ourselves and carried them through security to the gate, where they were hand-delivered to the flight crew before passengers boarded.

We sent a complimentary rider to accompany the first flight from Birmingham to Paphos, while another member of our team was on-hand to oversee the second departure from the East Midlands. The rider had stayed behind in Paphos to greet the second group, before flying back to the UK on the return leg.
